Privacy Policy

1. Introduction

This Privacy Policy explains how QuickQore Inc. (“QuickQore,” “we,” “us”) handles information when you use the QuickQore cloud bookkeeping software at quickqore.com (the “Service”) or otherwise interact with QuickQore. This Policy works alongside QuickQore’s Terms of Service, Master Service Agreement (where applicable), Data Processing Agreement (“DPA”), and Limitations & Legal Notice. Where conflict exists between this Policy and any signed contract with Customer, the signed contract controls.
The Service is intended for use by businesses located in the United States. If you are not located in the United States, you may not use the Service.

2. The Information We Collect

2.1 Information You Provide

When you sign up for QuickQore and use the Service, you provide information such as your name, business name, business email address, business phone number, business mailing address, role, and billing information. You may also upload Customer Data through the Service, including bookkeeping records, invoices, expenses, financial transactions, ledger entries, vendor and customer contact records, and other content you choose to put into your account.

2.2 Information About Connected Accounts

If you connect a bank account, QuickQore uses a read-only banking-data aggregator (currently Quiltt) to retrieve transaction data. QuickQore does not store your bank login credentials. Bank-account and routing numbers are stored only in masked form (typically the last four digits). Payment-card processing is handled by a qualified third-party payment processor; QuickQore stores only tokenized identifiers, not full card numbers.

2.3 Account and Security Information

To keep your account secure, QuickQore collects authentication information such as hashed passwords, two-factor authentication (2FA) enrollment data, session tokens, login IP addresses, device and browser information, and audit logs of account activity.

2.4 Information We Collect Automatically

When you use the Service or visit quickqore.com, QuickQore automatically collects technical information such as device type, browser type, operating system, referring URLs, pages viewed, actions taken in the Service, and general geographic region. This information is used to operate, secure, and improve the Service.

2.5 Communications

When you contact QuickQore for support, respond to a survey, or otherwise communicate with us, we collect the content of those communications along with metadata such as your contact information and the date and time.

3. How We Use Information

QuickQore uses information for the following purposes:


(a) to provide, operate, secure, and improve the Service;

(b) to set up and administer Customer accounts, process payments, send invoices, and handle renewals and cancellations;

(c) to provide customer support and respond to inquiries;

(d) to detect, investigate, and prevent fraud, unauthorized access, and abuse of the Service;

(e) to comply with legal obligations and respond to lawful requests;

(f) to send service-related communications such as account, billing, security, and policy notices — these are not promotional and you cannot opt out of them while you have an active account;

(g) to send marketing communications, where permitted by law — you can opt out of these at any time using the unsubscribe link in any marketing email; and

(h) to generate aggregated and de-identified analytics that do not identify any individual Customer or end-user.

4. How We Share Information

QuickQore does not sell or rent personal information, and does not share personal information with third parties for cross-context behavioral advertising or for any third party’s independent advertising or marketing purposes.
We share information only in the following limited circumstances:

4.1 With Sub-processors

QuickQore uses trusted third-party vendors (“Sub-processors”) to help provide the Service — for example, cloud hosting, payment processing, bank-data aggregation, email delivery, SMS delivery, customer support tooling, and error monitoring. Sub-processors are listed in the Annex to the DPA. QuickQore selects reputable vendors, imposes appropriate contractual obligations on each, and remains responsible to Customer for their performance.

4.2 With AI Service Providers

Where the Service uses AI features (for example, receipt OCR or transaction-categorization suggestions), QuickQore may send the relevant inputs to a reputable third-party AI provider. QuickQore does not intentionally use Customer Data to train, fine-tune, or improve any public artificial intelligence model, and configures available controls intended to prevent customer data from being used to train the providers’ public models.

4.3 To Comply with Law and Protect Rights

QuickQore may disclose information when required by applicable law, valid legal process, or governmental request, or when QuickQore believes in good faith that disclosure is necessary to protect the rights, property, or safety of QuickQore, its customers, or others, or to investigate suspected fraud or abuse.

4.4 In Connection with a Business Transaction

If QuickQore is involved in a merger, acquisition, reorganization, financing, or sale of all or part of its business or assets, information may be transferred as part of that transaction, subject to the terms of this Policy.

5. Customer Use of Personal Information About Other People

In the course of using the Service, Customer routinely uploads, stores, or processes personal information about third parties — including Customer’s own customers, vendors, suppliers, contractors, employees, and other contacts (collectively, “Third-Party Personal Information”). This is an inherent part of bookkeeping software.

With respect to all Third-Party Personal Information that Customer chooses to put into the Service, Customer represents and warrants that Customer has:
(a) all rights, authority, and consents necessary under applicable law to collect, upload, store, and process such information through the Service;
(b) provided all required notices and obtained any required consents from the individuals whose personal information is uploaded; and
(c) the right to grant QuickQore the license described in QuickQore’s Terms of Service to host, process, and otherwise use such information solely as necessary to provide the Service.

Customer is solely responsible for responding to any access, deletion, correction, or other rights request from individuals whose Third-Party Personal Information is contained in Customer’s Account. QuickQore will reasonably cooperate with Customer’s response to such requests, but QuickQore is not the controller of Third-Party Personal Information and does not respond to such requests directly.

Customer agrees to indemnify and hold QuickQore harmless from any claim, loss, or liability arising out of Customer’s failure to comply with this Section 5 or with applicable law in collecting, using, or sharing Third-Party Personal Information.

6. Your Choices and Rights

You can access, update, correct, and export your Customer Data at any time through the Service. You can close your account through the Service or by contacting QuickQore.

To the extent applicable U.S. state privacy laws apply to you, you may have additional rights, including the right to know what categories of personal information we collect, to request access to or deletion of personal information, to correct inaccurate personal information, to opt out of certain processing, and to be free from discrimination for exercising privacy rights. To exercise any of these rights, contact contact@quickqore.com. We will respond within the time required by applicable law.

You can opt out of marketing emails at any time using the unsubscribe link in any marketing email or by emailing contact@quickqore.com.

7. Cookies and Similar Technologies

QuickQore and quickqore.com use cookies and similar technologies to keep you signed in, remember your preferences, secure the Service, measure how the Service is used in aggregate, and (where applicable) deliver and measure marketing on QuickQore’s own properties. Most browsers allow you to control cookies through browser settings; disabling cookies may affect how the Service works. QuickQore does not engage in cross-context behavioral advertising.

8. Data Retention

QuickQore retains Customer Data for as long as your account is active. After your account is terminated or cancelled, QuickQore will use commercially reasonable efforts to make your Customer Data available for export through the Service for sixty (60) days. After the export period, QuickQore may delete Customer Data from active systems in accordance with its standard data-retention practices, subject to any applicable legal retention obligations (such as litigation holds, tax laws, and subpoenas). Backups containing Customer Data are retained according to QuickQore’s standard backup-retention practices and are overwritten or destroyed over time as part of normal operations.

QuickQore retains account, billing, security, and audit records for the period required by applicable law and for legitimate business purposes (such as tax, fraud-prevention, and dispute-resolution records).

9. Security

QuickQore maintains reasonable security measures appropriate for a cloud bookkeeping platform, including encryption of Customer Data in transit and at rest, access controls, two-factor authentication for user accounts, regular backups of production data, and reasonable security and monitoring practices. No information system can guarantee absolute security. You are responsible for keeping your account credentials confidential, maintaining 2FA, securing your devices and networks, and promptly reporting any suspected unauthorized access to contact@quickqore.com.

10. SMS and Two-Factor Authentication Messages

10.1 SMS Consent

By providing a mobile telephone number to QuickQore (during account setup or otherwise) and enrolling in two-factor authentication (“2FA”), Customer consents to receive SMS text messages from QuickQore to that number for the purposes described in this Section 10. SMS messages may be sent by QuickQore or by QuickQore’s communications sub-processor (currently Twilio). Standard message and data rates from Customer’s mobile carrier may apply. Message frequency varies based on Customer’s use of the Service.

10.2 Purpose Limitation

SMS messages sent under this Section are limited to security and authentication purposes, including one-time passcodes (“OTP”) for 2FA, account-recovery codes, security alerts about Customer’s Account (such as login from a new device or password change), and operational notices directly related to the Service.
SMS messages sent under this Section are not used for marketing or promotional purposes. The mobile telephone number Customer provides for SMS messages will not be shared, sold, rented, or otherwise disclosed to any third party for marketing purposes, and is not used for cross-context behavioral advertising. SMS recipients’ mobile telephone numbers are processed only by QuickQore and QuickQore’s communications sub-processor for the delivery of the messages described in this Section.

10.3 If Customer Chooses Not to Use 2FA

QuickQore strongly recommends enabling 2FA. Customer may decline to enroll a phone number for SMS-based 2FA where Customer uses an authenticator application or other supported method instead. Customer acknowledges that an Account without any second factor is materially less secure and that QuickQore is not responsible for any unauthorized access to, or compromise of, an Account where Customer has elected not to enable any form of multi-factor authentication.

10.4 STOP, HELP, and Opt-Out

Replying STOP to any QuickQore SMS will end SMS communications from QuickQore to that number; replying HELP will return assistance information. Because SMS-based 2FA is a security feature, opting out of SMS may require Customer to switch to another supported 2FA method (such as an authenticator application) or, in some cases, may result in suspension of Account access pending re-enrollment in 2FA. SMS messages may also be governed by QuickQore’s communications sub-processor’s terms in addition to this Privacy Policy.

11. AI Features

Some features of the Service are powered by artificial intelligence or machine learning (“AI Features”), such as receipt OCR, transaction-categorization suggestions, anomaly detection, and report-drafting assistance. AI Features are provided as productivity aids; they may be inaccurate, incomplete, biased, or out of date. You are responsible for reviewing and verifying AI output before relying on it for any business, accounting, tax, regulatory, or legal purpose. QuickQore does not intentionally use Customer Data to train any public AI model without your express, written, opt-in consent.

12. Children

The Service is not directed to, and is not intended for use by, children under thirteen (13). QuickQore does not knowingly collect personal information from children under thirteen. If you believe a child has provided personal information to QuickQore, please contact contact@quickqore.com so we can investigate and delete it.

13. United States Only

The Service is offered exclusively to businesses located in the United States. All personal information collected through the Service is processed and stored in the United States. If you access the Service from outside the United States, you do so at your own risk and are responsible for compliance with local laws.

14. Changes to This Policy

QuickQore may update this Privacy Policy from time to time. Material updates affecting active subscriptions will be communicated through the Service or to your registered email address as required by applicable law. The current version is always available at quickqore.com/legal/privacy/. Continued use of the Service after the effective date of an updated Policy constitutes acceptance of the changes.

This policy governs the use of (i) the QuickQore website located at https://www.quickqore.com (the “Site”); (ii) any other website operated by Quick Qore Inc. or its affiliates and subsidiaries (collectively, “QuickQore,” “we,” “us,” “our”); and (iii) all related products and services. This Privacy Policy outlines the information we collect from you during your use of the Site and our services, how we use and disclose that information, and the steps we take to protect your privacy. What Information Do We Collect?

Our primary goal in collecting personal information from you is to ensure a secure, efficient, and tailored experience on our platform. This enables us to offer services and features that align with your needs, making your experience with QuickQore smoother and more personalized. We only gather personal information that we deem necessary to achieve this purpose.

Generally, you can explore the Site without revealing your identity or sharing personal details. However, once you register as a User, we may ask you to provide contact and identity information, billing details, and other personal data as required by the relevant forms on the Site. The specific information requested may vary depending on your role as a User. Where applicable, we will indicate which fields are mandatory and which are optional on these forms.

As you engage with the Site, you may occasionally enter or submit personal information to us. For instance, if you are a Subscriber, you may provide timesheet entries or billing information. If you are a Customer, you might enter payment details related to invoices submitted by a Subscriber. Additionally, during your use of the Site, you may provide personal information about third parties that is relevant to the services we offer. For example, as a Subscriber, you could enter personal details about your Customers or staff within the service context.

You always have the choice to withhold information by opting not to become a User or by choosing not to use certain features of the Site that require specific data.

For Subscribers, we may collect credit card information for billing purposes. If you are a Customer making recurring payments to a Subscriber, we may collect and store your credit card information to facilitate those payments.

Some sections of our Site, where personal data is collected, may use framing techniques to present content from our partners while maintaining the look and feel of our Site. Please note that in such cases, you are providing your personal information directly to these third parties, not to QuickQore. The relevant third party will be identified on that specific section of the website.

We may also engage third-party companies to process personal information for marketing or analytical purposes, enhancing our services and programs.

Technologies such as cookies and similar tools are used by QuickQore and our partners (e.g., advertising, marketing, and analytics), affiliates, or other service providers. Sharing Your Information

User Information: In the normal operation of the Site, Subscriber timesheets and invoices (including data entered by “staff” members) are accessible to the relevant Customers, and Customer information is visible to the respective Subscriber. Generally, the information you enter on the Site is accessible to others you have granted account access to, whether they are Customers, Subscribers, staff members, or other authorized users.
  2. Payment Information: We may use the credit card and other personally identifiable information (such as payment processor email addresses) you provide to process payments through our payment processor intermediaries. We do not store credit card information unless Subscribers or their Customers choose to save this information for recurring payments. In all other cases, our payment processors are solely responsible for storing this data. We may also share personally identifiable information with payment processors for risk management and fraud prevention.
  3. Third-Party Products and Services: Occasionally, we may offer you related products and services that integrate with or complement QuickQore’s offerings. For example, you might be given the opportunity to request financial services, including loans, from third parties. We will only share your information with these third parties if you choose to request their services. If you do, we will provide the necessary information to the relevant third party on your behalf. Please note that we do not control how these third parties use, store, process, or disclose your information. Your relationship with these third parties will be subject to their separate terms and conditions and privacy policies, which we recommend you review carefully before proceeding.
  4. Aggregated Data: We generate statistical, aggregated data related to our users and services for analytical purposes. This aggregated data, derived from personal information and other sources, is anonymous and does not identify any individual. We use this data to understand our customers better and to develop, improve, and market our services. We may share this aggregated data with third parties.
  5. Public Forums: If you post on our forum or blog, your username and any other information you include will be visible in your posts or comments and available to the public. All activities in public areas of the forum are identifiable by your User ID, and others can see your published content. If you disclose personal information in a forum or blog post and wish to have it removed, please contact us at the support details listed below. Our blog commenting system is managed by a third-party application, which may require registration to post a comment. To remove personal information from the comments section, you may need to contact or log in to the third-party application. To learn how this third-party application uses your information, please review their privacy policy.
  6. Affiliates, Subsidiaries, and Service Providers: We may use services from affiliates, subsidiaries, and unrelated service providers in operating the Site, which may involve sharing personal information. For example, third-party hosting companies may host data, including personal information, on their servers. We ensure that our service providers are reputable, have adequate security measures, and meet our expectations regarding handling confidential information.   8. Consent to Receive SMS Messages: By using QuickQore, you consent to receive SMS messages for two-factor authentication (2FA). These messages are strictly limited to security functions and will not be used for marketing or promotional purposes.

Opting Out of SMS Communications: If you opt not to enable 2FA or do not agree to receive SMS messages for this purpose, you acknowledge that this decision is made at your own risk. Disabling 2FA significantly reduces your account’s security and may leave it vulnerable to unauthorized access. QuickQore strongly recommends enabling 2FA to protect your account and personal information. If you choose not to enable 2FA, QuickQore will not be responsible for any security breaches or unauthorized access resulting from this decision.
  10. Security and Privacy: We are committed to protecting your privacy. The phone number you provide for 2FA will only be used for security purposes and will not be shared with third parties, except as required by law.
  11. Use of SMS for 2FA: You acknowledge and agree that SMS messages will be sent to the mobile number you provide during registration or account setup. These SMS messages will include authentication codes necessary for completing the 2FA process during login or other security-related actions.
  12. Your Privacy Matters to us: QuickQore is committed to protecting your privacy. SMS consent and phone numbers provided for the purpose of SMS communications will not be shared, sold, or disclosed to any third party or any other entity for marketing purpose. The phone numbers collected will only be used for delivering SMS communications related to your account and services provided by QuickQore.
Your Use of Other Person’s Information

In order to facilitate the services provided by QuickQore, the platform allows you, in certain circumstances, to grant other Users limited access to the personal information of other individuals. For instance, if you are a Subscriber, you may grant a staff member access to your Customers personal information through the Site. By agreeing to our Terms of Service, you confirm that you have obtained all necessary consents and have the right to collect, use, and disclose the personal information of other individuals as described in this Privacy Policy. Furthermore, you acknowledge that the indemnity provision in the Terms of Service applies to any non-compliance with the aforementioned obligations.

If you use our referral service to tell a friend about QuickQore, we will ask for your friend’s name and email address to send them a one-time invitation to visit the Site. QuickQore may stores this information solely to send this one-time email, track the success of our referral program, and ensure compliance with applicable laws. Your friend may contact us at contact@quickqore.com to request the removal of this information from our database.

Other Information Collectors

Except as expressly included in this Privacy Policy, this document only addresses the use and disclosure of information that we collect from you. If you disclose your information to other parties through the Site—whether they are Subscribers, Customers, or other third parties—different rules may apply to their use, collection, and disclosure of the personal information you share. Since we do not control the information practices of third parties, you are subject to their privacy policies. We encourage you to ask questions before disclosing your personal information to others.

Consent for Withdrawal

If you are a resident of the of California, we provide a process for you to withdraw your consent for the processing of your personal information. To initiate this process, please contact us at contact@quickqore.com. We will verify your information before proceeding and take the necessary steps in compliance with applicable laws and regulations.

Correcting, Updating, and Transferring Your Personal Information

Upon written request, QuickQore will provide you with details of the personal information we hold about you. To review, update, or delete your personal information to ensure its accuracy, you can log into your account or contact us at contact@quickqore.com. We typically respond within one month of receiving your request. To help us process your request, we may ask for additional information, including government-issued identification to verify your identity. 

Account Deletion

QuickQore operates within a complex business ecosystem that connects various users, including contractors, companies, and customers. This ecosystem relies on the exchange and sharing of information, such as tracked hours, invoices, and payments, which are essential for the proper functioning of the network and other connected systems. Due to the interconnected nature of these services, certain data must be retained for as long as necessary to ensure the system’s proper operation and compliance with accounting standards.

When you choose to close your account, QuickQore will remove your information from our marketing and billing systems to prevent any further communications or charges. However, some information may be retained as required by law or to support the ongoing functionality of the systems you have interacted with. QuickQore will ensure that any data no longer needed for these purposes is deleted in a compliant manner, and we will consider your deletion request within the framework of applicable laws.

Data Retention

We will retain your information for as long as your account is active or as needed to provide you with services. Our goal is to retain your information only as necessary to comply with legal obligations, accepted accounting principles, resolve disputes, and enforce our agreements. This retention period may extend beyond the closure of your account.

The retention period for your data will depend on the type of information. For example, accounting-related data will be retained for at least seven years, while temporary cookie data from web visitors may not be retained at all.

International Transfer of Personal Information

Except as outlined in this Privacy Policy, we do not share your personal information with third parties. When we do transfer your personal information to third parties or service providers, we take appropriate measures to ensure that data processing is conducted securely and in compliance with applicable data protection laws.

Supplemental Policy Information

Invitations:

QuickQore allows you to invite others to collaborate with you through your account. To facilitate this, QuickQore may ask you to either import or manually enter your contacts’ email addresses. As directed by you, we will then send them an invitation on your behalf, or provide other notifications reflecting any changes you make to their status within your account.

If you click on a link to a third-party site, you will be redirected from the QuickQore site to the site you selected. Should you choose to use a third-party product or service in conjunction with QuickQore, you will enter into a separate license agreement with that third party for the use of their product or service, and they will handle your data according to their own terms. You will be notified of this at the relevant time. Since we cannot control the activities of third parties, we cannot take responsibility for how they use your personal information, nor can we guarantee that they will follow the same privacy practices as QuickQore. We strongly encourage you to review the privacy policies of any third-party service provider before engaging with their services. If you visit a third-party website linked from a QuickQore site, please read their privacy policy before providing any personal information.

With your consent, we may display your testimonial along with your name. If you wish to have your testimonial removed, please contact us at contact@quickqore.com.

Our website includes Social Media Features, such as Facebook, LinkedIn, Instagram, YouTube, Thread, and Twitter buttons, and Widgets, like the “Share This” button or other interactive mini-programs that may run on our site. These Features may collect your IP address, the specific page you are visiting on our site, and may set a cookie to ensure proper functionality. Social Media Features and Widgets are either hosted by a third party or directly on our site. Your interactions with these Features are governed by the privacy policy of the respective company providing them.

For California Residents:

The California Consumer Privacy Act (“CCPA”), effective January 1, 2020, regulates how QuickQore handles the personal information of California residents and provides certain rights with respect to that information.

QuickQore operates as both a “business” and a “service provider” under the CCPA. This supplemental privacy policy applies specifically to the information we collect when we interact directly with you in our role as a business.

When we serve as a service provider—such as when QuickQore provides services to another company that you interact with—we adhere to the instructions of the business that engaged us regarding how we process your personal information. For more details on how your personal information is processed by other companies, including those that engage us as a service provider, please reach out directly to those companies.

This supplemental privacy policy is effective as of January 1, 2020, and applies exclusively to residents of California. It may be subject to future updates. The general privacy policy remains in effect to the extent that it applies to you as a California resident. As required, this policy discloses certain uses and disclosures of personal information in a specific format, and informs you of your rights under the CCPA. Any capitalized terms used in this supplemental privacy policy carry the same meanings as those defined in the general privacy policy.

Notification of Privacy Statement Changes

We may revise this privacy statement to reflect changes in our data handling practices.
